Organic Standards Certification

Organic is a term (also known as Ecological or Biological) that indicates that the food or other agricultural products have been produced and are certified according to an Organic Standard.

The principles of Organic Production covered respect for ecosystems and animals, maintenance of biodiversity and conservation of soils, avoidance of synthetic chemical inputs, and ban to use genetically modified organisms.

Organic Production Standards are mainly formulated as National Regulations, such as the European Union Regulation 2018/848, and the United States of America National Organic Program (NOP-USDA). There are also some private organic standards that “complement” the national ones, such as Bio Suisse (Swiss market) and Krav (Swedish market).

In general, any business directly involved in the production, processing, handling, and trading of an organic product can be certified.

How to get started

Request an organic certification service

The first step is to contact us at organic.americas@controlunion.com, where we will be able to set up a call to directly discuss the specific nature of your certification needs.

Receive the offer letter

Once we have your application(s), we will provide you with an offer letter that will indicate the price and scope of your certification.

Accept the offer and complete an Organic System Plan (OSP)

After accepting the Offer, you need to prepare an Organic System Plan (OSP) which describes how your farming, handling, trading and/or processing practices and procedures meet organic standards. Control Union has developed OSP forms to help you understand the requirements of the regulations.

Submit your OSP and get your audit plan

Control Union will review your submitted OSP. After the OSP approval, we will contact you about setting up dates for your audit. Once an auditor is assigned, an agenda and audit plan will be sent. At the close of your audit, the auditor will indicate if any issue of concern has been found and inform you about the process and deadlines to submit corrective actions.

Audit review

Your audit results will be reviewed by a secondary person, called the certifier, who ultimately decides whether certification will be granted. If you had corrective actions to send, these need to be submitted within the deadlines.

Get your certification!

If the results of the certification process is in compliance with the regulations and CU procedures, you will be contacted to receive your certification. If the results were not satisfactory, we will inform you what are your options.

Royal Designation is a distinction that can be granted to companies to symbolize the respect, appreciation, and trust towards the recipient. Not every company comes into consideration for Royal Designation, and it is not an award that is automatically given to companies who reach 100 years of business.

FAQ's

Can I make changes during the year to
my organic certification?

Yes, you can make changes to your certification however you need to inform your local office before any new sites, processes or products are added. The local office will determine if an additional assessment (desk review or on-site audit) is needed. Costs will be incurred to make changes to your certificate.

Will I be able to request Transaction Certificates (TC)?

Yes, one you are certified and receive your certificate, you will have access to request transaction certificates (sometimes also called Import Certificates or Certificate of Inspections). You will have an online account which will enable you to request transaction certificates through our Client Portal System.

How long does it typically take from start to finish when requesting organic certifications?

The process will vary depending on several factors, these include how many sites and products will need to be included in your certification process (called the scope), how long it takes you to complete the Organic System Plan, how long it takes you to correct (if any) issues of concerns (non-compliances), and the availability of auditor(s). However, to provide some idea it can be range from 3 to 4 months.

We recommend that certification applications are submitted 3-4 months prior to organic harvest, projected sales, or other company deadlines. If you have a short certification time frame, we provide expedited services to meet your needs.

How long is my certificate valid for?

In most of the cases, Organic Certificates have a validity of one year. If there are any changes to your scope during the year, you need to notify your local office so that they can determine whether an additional assessment is needed. Your local office will contact you in the months prior to your next audit to ask if there are any changes to your certification scope and in your Organic System Plan.

Are there costs for the transaction certificates?

Yes, there are fees associated with requesting a TC. The fees will vary by region/country and by organic standard. Please note that the issuance of TCs will take in average 3-5 days. Your local office can assist you as to the timing of issuance. We also provide expedited services for the issuance of TCs.

How much does it cost?

The price will be determined by the local office in your region/country. This is determined by what is included in your audit, i.e.: number of sites, products, and processes.
